Our case management onboarding process: five steps to setting up In-Form

Date: 08/09/26

In-Form is hugely flexible, and that’s what makes it a really powerful tool. In-Form implementation starts with a case management onboarding process built entirely around you, right from the very first conversation.

In-Form is hugely flexible, and that’s what makes it a really powerful tool. Right from the start, we make sure that what you get from In-Form is tailor-made to your requirements.

That’s why our case management onboarding process needs your input from the very beginning, and all the way through. There are five steps to this process, and we work closely with you at every one.

Step one: getting to know one another

Once you make the initial contact we’ll be there listening to you. Of course there is absolutely no obligation to buy, but right from the outset you can tell us what you need, and arrange a demo – our team is here to help.

At this stage, we’ll ask you for all the information you can give us so we can meet your needs. Typically you’ll send us documents such as how you record your work with your clients – their histories, goals, and particular requirements – along with reports and records that give us a more detailed picture of your services. This helps us build the In-Form system around your needs, right down to the last detail.

Step two: the discovery process

We’ll sit down with you and work out a project plan. This is where we get into the nitty-gritty of your organisation: your structures, your projects, your processes, your ambitions and your vision. Crucially, we’ll also look at how In-Form can help you to achieve your goals on a day-to-day basis.

You’ll choose somebody to lead the implementation of the system on your side, and we’ll match you with your lead consultant who will take responsibility for setting up the system the way that you need it.

By this stage you’ll have discussed In-Form with your team members. If you want to get the most out of In-Form it’s important that your staff understand the changes ahead, as well as the benefits to them and to the people they help. We’re here to answer their questions, and yours, so together we can shape the best possible project plan for your organisation.

Step three: the build

Next comes the build. This bit is on us. Once we’ve jointly signed off on a project plan we’ll build all your requirements into your customised version of In-Form and integrate any add-ons or extras you need.

We’ll hold regular calls, screenshares and meetings during the build to keep you updated and make sure you’re happy with the progress. Once that step is complete, we’re ready to sign off on your new In-Form system!

Step four: testing and training

By now your In-Form system will incorporate all of your specific requirements, helping you provide the best service you can. In-Form’s flexibility means we can adjust it to suit even the most unique management structure or working style, so we may still make small adjustments to fit your team.

Once the system has been fine-tuned, your first projects can go-live, with any remaining projects to follow soon after (depending on your approach to go-live across your services).

Step five: go-live and ongoing support after case management system go-live

Now you are ready to go-live. You and your team can get the most for your clients from your customised In-Form system. Go-live isn’t the end of our relationship. You’ll still have support from our help desk plus a three-month review. This is your chance to discuss what’s working best and flag anything we should tweak.

We’re in this together

We know how important your system’s quality is to your organisation so we also run a system review process with our customer success team. When you choose In-Form, we commit ourselves to providing the best service we can – and we’re in it, like you, for the long term.

Frequently asked questions

How does In-Form implementation work?

In-Form implementation follows five steps: an initial conversation to understand your needs, a discovery process to map out your project plan, a build phase where we configure your system, testing and training with your team, and finally, going live. We work alongside you at every stage.

What ongoing support is available after go-live?

After go-live, you’ll have access to our help desk for day-to-day queries, a three-month review to check what’s working and what needs adjusting, and an annual review process to keep your system aligned with your organisation’s evolving needs.
